Administrative Policies and Procedures

This guide outlines essential school protocols for students and parents, detailing procedures for tuition payments, enrollment changes, document requests, student ID management, and accessing academic records.

1. Tuition Fees and Other Payments

1.1 Tuition Fee Due Dates

1.2 Other Expenses

Other expenses are payable as shown in the debit note, which the school issues in advance.


1.3 Payment Methods

(a)     Cash or cheque: at the Administration Office during payment hours.

(b)     Bank transfer: Kasikorn Bank, Wongwanrobnok Branch, account number 728-2-62887-7, account name "Sunflower Trilingual School". Please send the transfer slip to the Finance Officer.


2. Requesting School Documents

Students or parents may request school documents by completing a request form at the Administration Office. Please allow the notice period below.

Collecting Documents

The Administration Office will contact you when the documents are ready. The student or parent collecting them must sign to confirm receipt.


3. Changing Student Information

3.1     Bring copies of official government documents showing the student's correct first name, surname, ID number and grade level.

3.2     Complete the Change of Student Information form at the Administration Office.

3.3     The School updates the student's details in its records and computer system.

3.4     The relevant academic section and teachers are informed of the change.


4. Student ID Card

4.1 Use of the Card

The student ID card shows the student's details and is used for school activities, including borrowing library books and buying food and drinks at school. It works as a prepaid debit card.


4.2 Grades 1 to 3

Students in Grades 1 to 3 receive school meals. If a student wants to buy extra food, parents may allow them to use the ID card. Homeroom teachers keep these cards and hand them to students when needed.


4.3 Adding Money

Parents or students can add money to the card at the Finance Section or the canteen during top-up hours. The balance is printed on the receipt each time the card is used.


4.4 Spending Limits

Parents who want to set a daily spending limit can tell the Finance Officer. A card with a negative balance cannot be used to buy food or drinks.


4.5 Lost Cards

Please remind students to keep their card safe. A replacement card costs 300 Baht.


5. Online Grades and Examination Schedules

5.1     Grades: Parents and students can check grades through the Gradebook Login under "Contact Us" on the school website. Login details are provided by the school. Please contact the Administration Office if you need help.

5.2     Examination schedules: Schedules for Primary, Lower Secondary and Upper Secondary are published on the school website and can be downloaded by level.


6. Temporary Leave of Absence

Parents may submit a request form to the School Director for consideration and approval. Tuition fees must still be paid to keep the student's place at the school.


7. Accident Compensation

Parents or students should contact the Administration Office to claim accident compensation or for more information. Please bring documents related to the accident, such as medical receipts.

8. Withdrawal and Removal from the School

8.1 Withdrawal by Parents

Parents who wish to withdraw their child must submit the withdrawal form to the Administration Office with three (3) photographs of the student (3 x 4 cm, in correct school uniform, taken within the last 6 months). Before the withdrawal is completed, the office will check that all fees are paid and all library books are returned.


8.2 Removal from the Student Register

A student's name is removed from the school register when:

•       the student completes high school;

•       the student completes a grade but does not register for the next grade as required;

•       parents withdraw the student during or at the end of a semester;

•       the student is absent for two (2) consecutive weeks without reason and parents do not respond to the School. In this case the office informs the principal, who approves the removal, and the decision is kept in the student's records;

•       the school has other appropriate reasons for removal; or

•       in the event of the student's passing.
